What we collect
| Information | Why we hold it | Lawful basis |
|---|---|---|
| Your name, email address and phone number | To confirm a booking, contact you about a visit and request payment | Performance of a contract |
| Your address and postcode | To find the property, check it is inside our service area and attend the visit | Performance of a contract |
| The map position you confirm, and the lawn outlines you draw | To calculate the area and price, and to know what we agreed to cut | Performance of a contract |
| Access notes, gate location, parking notes and pet warnings | To carry out the visit safely when you are not at home | Performance of a contract |
| Booking and payment status | To run the service and keep accounting records | Contract, and legal obligation for tax records |
| Whether you asked for seasonal reminders, and when you asked | To email you before the next mowing season so you can book again without redrawing your lawn | Consent |
| Anonymous usage events (for example that a page was viewed or a price was shown) | To count visits and understand where the booking process is failing. These carry no name, account or device identifier. | Legitimate interests in improving the service |
| Your IP address, briefly, during the security check | To stop automated abuse of the booking form | Legitimate interests in protecting the service |
We never see or store your card details. Payments are taken on Stripe’s own pages; we only record whether a payment succeeded.
Who else processes it
- Cloudflare — hosting, database and the anti-bot check on the booking form.
- Mapbox — satellite imagery and turning your postcode into a map position. Your browser contacts Mapbox directly when the map loads.
- Stripe — payment processing. You are taken to Stripe to pay.
- Resend — sending your confirmation and payment emails.
Some of these providers operate outside the UK. Where information is transferred abroad it is protected by UK-approved safeguards such as the International Data Transfer Addendum or an adequacy decision.
We do not sell your information, and we do not use it for advertising.
How long we keep it
| Record | Kept for |
|---|---|
| Quotes that never became a booking | 12 months, then deleted |
| Bookings, addresses and access notes | While you are a customer, then 12 months after your last visit |
| Your lawn outline and property access notes (access instructions, gate, parking and pet notes), if you asked for seasonal reminders | Until you unsubscribe or ask us to delete them, so you can rebook without redrawing |
| Records needed for accounts and tax | 6 years after the end of the tax year, as HMRC requires |
| Anonymous usage events (no cookie, name, account or device identifier) | Kept as long-term de-identified trend data; they carry nothing that identifies you and cannot be traced back to you |
Access notes, gate codes, pet warnings, customer messages and lawn outlines are removed after the 12-month operational period, unless you asked us to remind you about the next season. In that case we keep your lawn outline and your property access notes so you can rebook in one step, until you unsubscribe or ask us to delete them. Per-visit booking notes are still removed on the normal schedule. If you ask us to erase your data sooner, email us and quote the email address used for your booking. We will erase eligible records, except where we must keep a financial record for the period above or where a future visit still needs the information.
Seasonal reminders
When you book you can choose to be emailed before the next mowing season so you can book again. This is optional, we ask for it separately from the booking itself, and it is the only marketing we send. Every reminder carries a one-click unsubscribe link, and you can also unsubscribe from the link in your booking confirmation or by emailing us. Unsubscribing stops the reminders and lets your lawn data be erased on the normal 12-month schedule.
If you choose a recurring weekly or fortnightly cut, we also email you each time your next cut is due, with a one-tap link to book it. Choosing a recurring cut is your consent to those reminders and to us keeping your lawn outline so you don’t have to redraw it. Every reminder has a one-click link to stop them, and stopping the reminders lets your lawn data be erased on the normal 12-month schedule.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or object to our use of it. You can also ask for it in a portable format. To do any of these, email hello@gardenready.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
